Cataloging Example: Contributor Record

The following example goes through a contributor record field by field without taking
into account minimal or complete criteria.
- Uniform Name
- Content should sort to this field when a name authority record is imported.
- When constructing a Uniform Name entry from scratch, follow rules in
AACR2 chapters 22 and 24
- Name Source
- Content should sort to this field when a name authority record is imported.
- When constructing a contributor record from scratch, follow the name source
formatting rules outlined in the Contributor Record Cataloging Guidelines.
- Variant Names
- Content should sort to this field when a name authority record is imported.
- Additional variant names may be added if needed. Follow basic name formatting
rules as outlined in AACR2
- Type
- Defines whether the record represents an individual (Person) or corporate entity (Group).
- The default is Person
- Birth, Death, Flourish Dates and Source
- Birth, Death or Flourish dates should be entered in these fields. Often this data will
sort upon import if included in authority record 1XX or 4XX entries. If the dates do
not sort, quickly consult the accompanying MARC Record window to see if dates are
indicated in any notes. NGO (New Grove Online) is another helpful source
- When an authority record serves as the date source, enter the ARN (authority record
number) in the Source field. For other options and formats, see the section on name
sources in the Cataloging Guidelines
- If the imported authority record includes just a death date (prefaced by "d.") in
the 1XX or 4XX fields, this information will sort to the Birth Date field. Move the
date to the Death Date field. If possible, find and include the birth date in the
correct field and remove the "d." from the Death Date entry. If the birth date
is unknown, leave the d. in place
- If the imported authority record includes a flourish date (prefaced by "fl.")
in the 1XX or 4XX fields, this information may sort to the Birth and/or Death Date
fields. Move this information to the Flourish Dates field and remove the "fl."
Follow date formatting rules as outlined in the cataloging guidelines.
- Variant Dates
- Enter any variant dates here (conflicting dates of birth, death, etc.).
- Type could include "Variant birth date," "Variant death date," or a similar
phrase specifying what the date represents

- Place of Origin
- Content in this field identifies where an individual was born or an ensemble founded.
Such information is often found in the authority record notes or in NGO.
- Content in this field is organized from the smallest entity to the largest (city, country)
- Notes
- Content should sort to this field when a name authority record is imported.
- For note formats, consult the NACO-Music Project page of examples. Notes labeled as
"Administrative" may be formatted in any manner.
- Resources
- In this field, catalogers may provide links to online sources or identify important
print resources that may be useful to end users.
- For the most part, only links to relevant NGO articles have been entered here (when
searching NGO, it is best to first perform a browse search rather than enter a name in
the search box. Browse search results sort entries from all three New Grove dictionaries
together, whereas results from the search box do not. If multiple articles exist for an
individual or group, create entries for each article.)

- Distinguish entries from the opera and jazz sections by entering either "(opera)" or
"(jazz)" to the end of the article title in both the Title and Description fields.

- Content should sort to this field when a name authority record is imported.
- This window will remain blank for contributor records created from scratch.
- Status
- Once a record has been cataloged, catalogers should change the status to minimal or complete,
depending upon the level of thoroughness attempted by the cataloger.
- View Record Access Data
- Contents in this window identify when and who created the record and when it was last
updated.
- Information in this window is generated by the system.
